Officer Job Descriptions Summarized
President - Supervise, direct and control the business of the club. Run the monthly meetings.
Vice President - Assume the duties of the president in his/her absence. Oversee all non-ski activities and events, ie. wine downs, hikes, dine arounds, etc.) Maintain the storage and inventory of equipment and supplies.
Secretary - Keep minutes of all meetings and actions of the directors. Maintain records of: Minutes, Tax Returns, Statement of Information, Seller of Travel Registrations, Attestation Form, Authorization & Con- sent Form, Travel Consumer Restitution Corp status and Sales Tax Returns. Keep the club logo safe.
Treasurer - Maintain all bank accounts. Ensure all activities stay within budget. Report monthly reconciliations. Deposit all monies collected. Disburse payments timely. Assist president in pre- paring annual financials. Purchase professional liability, general liability insurances, and bonds as needed and renew annually. Meet annually with directors to facilitate their understanding of all club finances.
Finance Officer - Pick up and distribute the mail. File all tax returns, Statement of Information form, Seller of Travel Registration, Consumer Restitution Corp renewal and annual sales tax.
Newsletter Officer - Report the activities of the club in a monthly newsletter.
Ski Trips Officer - Plan, organize & market week-long trips. Negotiate with service providers. Obtain member input. Develop a budget for each trip, present it and a contract to the Board of Directors for approval. Coordinate trip activities. Develop payment plans & cancellation policies. Present information at each Board and membership meetings. Plan pre-trip orientation, après ski activities and other trip activities.
Membership Officer - Responsible for promotion and recruitment of new members and facilitate information for current members. Recruit, greet and introduce potential new members at meetings. Assist Members/recruits as needed. Provide nametags for recruits, members and guests. Distribute Far West Ski Association membership cards. Monitor membership data base for completion of annual dues payment, liability release and code of conduct forms.
Communications Officer - Maintain website, Meet-Up, social media accounts, and domain name. Oversee email blasts. Oversee and assist Newsletter Officer and Publicity Officer. Maintain club calendar of events.
Publicity Officer - Publicize all events and meetings in local newspapers.
Philanthropy Officer - Organize club approved charity and volunteer activities. Oversee memorial observances for active club members who pass away.
